Getting Started (about 5 minutes)

What do I need?

An Android phone or tablet. iPhone is coming soon.
A Google account to sign in.
An ERPNext company (version 16, on Frappe Cloud or your own server).

How do I start?

Install the ERPYAS app and tap Continue with Google.
Enter your ERPNext address (for example yourcompany.frappe.cloud) and your ERPNext API Key and API Secret.
Tap Connect. ERPYAS checks the connection, and you're ready to scan.

Have an invite code? Enter it in Settings → Account & plan → Invite code to unlock 50 free invoices. No card needed. No code? Choose a plan at www.erpyas.com.

Where do I get the ERPNext API Key and Secret?

In ERPNext: open your User profile → API Access → Generate Keys. - Use a user who is allowed to create Purchase Invoices, Suppliers and Items. - ERPNext shows the Secret only once, so copy it straight into the app.

Do I need to install anything in ERPNext?

No. No plugins, no custom code, no server changes. ERPYAS uses ERPNext's standard, secure API.

What Can I Upload?

Handwritten bills?	Not supported. Handwritten or unreadable documents are politely rejected, and they cost nothing
Which languages and currencies?	Invoices in any common language and currency; amounts post in your ERPNext company currency. The app itself is available in English, Arabic, German, Spanish, Hindi, Urdu and Chinese

For the best results: - Use good light, and photograph the invoice flat with all four corners visible. - Make sure the supplier name, invoice number, date and total are readable. - Original PDFs from suppliers give the best accuracy of all.

How Fast Is It?

How do I use an invite code?

In the app: Settings → Account & plan → Invite code, type the code, then tap Redeem. The free invoices are added to your account straight away. Each account can use one invite code.

What uses a credit?

Only an invoice that becomes a draft in ERPNext. These are free: - duplicates, - rejected or unreadable documents, - uploads that fail for any reason, - re-sending the same upload after a network drop.

Do I get credits back if I undo an invoice?

Yes. Invoices removed with the 24-hour Undo (see section 6) give their credits back.

When does my allowance renew?

Monthly plans: on every billing date.
Yearly plans: a full monthly allowance every month for the whole year.

How do I know how much I have left?

Settings → Account & plan shows your plan and invoices remaining. The app also reminds you when you've used 90%.

What happens when I run out?

New uploads pause and the app shows Upgrade plan.
Invoices you've already scanned stay safe on your phone. Upgrade and they continue.
Nothing is ever lost.

How do I upgrade, change card, download receipts or cancel?

In the app: Settings → Account & plan. - Upgrade plan opens the plans page. - Manage billing opens your secure Stripe billing page (card, invoices, cancellation).

Buy with the same email you sign in with and your plan activates automatically within seconds.

Is payment secure?

Yes. Payments are handled by Stripe. ERPYAS never sees your card details. Every purchase gets a 9-digit Customer Service ID on your receipt for quick support.

What Arrives in ERPNext?

What exactly does ERPYAS create?

A Draft Purchase Invoice with the supplier, invoice number, dates, every line item, discounts and taxes.
The original invoice file attached, so auditors are always one click from the source.
The draft's total always matches the invoice total.

Will it create suppliers and items for me?

Yes. Known items are matched to your catalogue, including part numbers and SKUs. Genuinely new items and suppliers are created automatically. Items that look similar but differ in a number (for example a 24-port vs a 48-port panel) are never silently merged.

How are taxes, shipping and discounts handled?

Line items are recorded as printed.
Bottom-line discounts are recorded as a discount.
VAT / sales tax, shipping and similar charges are posted as a tax-and-charges line.

This way the draft balances exactly to the invoice.

Paid or unpaid?

You choose before scanning, and one choice applies to a whole batch: - Credit (pay later): the draft goes to Accounts Payable. - Cash or Bank: recorded as already paid from the account you pick.

Which expense account is used?

Your default expense account, or the one you pick in the app's account picker. The app remembers your usual choices.

What is the "Suspense" account?

When something needs a human decision, the draft goes to a suspense (review) account with a note explaining why. For example: - a blurry total, - a missing price, - an uncertain supplier, - an item that conflicts with your catalogue.

Your accountant checks it, corrects the account and submits it, usually in under a minute.

What if a supplier sends a corrected version of an invoice?

ERPYAS recognises it: - If the original is still a draft, the draft is updated. - If the original was already submitted, a new draft is created and flagged for review.

How are duplicates prevented?

ERPYAS blocks the same invoice twice, whether it's: - the same file, - the same supplier and invoice number already in ERPNext, - or the same invoice content scanned again.

A duplicate shows "Duplicate Blocked" and costs nothing.

For Accountants: Your Daily Routine

Scan invoices as they arrive (one at a time or in batches of up to 50).
Open ERPNext → Buying → Purchase Invoice and filter by Draft.
Review each draft against the attached original. Check suspense items first; the remarks say why.
Submit. ERPYAS never submits, pays or deletes submitted documents. That stays your decision.

I scanned the wrong invoice. Can I undo it?

Yes, within 24 hours: 1. Go to Settings → Emergency 24-Hour Session Undo and tap Undo next to an invoice, or Rollback All. 2. The draft and its attachment are removed from ERPNext, and the credit comes back. 3. Invoices that were already submitted or paid are protected and are never deleted.

No signal in the warehouse?

Keep scanning. Invoices wait in the app's Outbox and upload automatically when you're back online, just like WhatsApp messages.

What do the app messages mean?

Can I trust the numbers?

Yes. AI never calculates your financial figures. Every number comes directly from your ERPNext ledger using standard accounting reports, so what you see is exactly what your books say.

Accounts, Privacy & Security

Can several people use one subscription?

A subscription belongs to one person's ERPYAS account (their Google sign-in). Each team member who scans should have their own account and plan. They can all post into the same ERPNext company.

Where are my ERPNext keys stored?

Only on your phone, encrypted by the phone's secure hardware keystore. ERPYAS servers never store them; they're used for each request and then discarded.

Does ERPYAS keep my invoices?

No. - Invoices go to your own ERPNext. - Batch uploads are held briefly while they're processed and are deleted automatically within 24 hours. - We keep only what's needed to run your account: your email, plan, credit balance, and duplicate-check fingerprints (not the documents).

Who processes the data?

Google Cloud runs ERPYAS (USA region).
Google Gemini AI reads invoices.
Stripe handles payments.

Data is encrypted in transit (HTTPS) end to end.

How do I sign in?

With Google (on iPhone, Sign in with Apple is coming). Sessions stay signed in securely. You can sign out any time from the app.
